Setting up Quick Entries is an essential part of Smart Service Cloud. Tired of creating the same basic appointment? Create a Quick Entry to help automate the process!
Quick Entries allow you to create template work orders and quotes with predefined information which you can drag and drop onto The Dispatch Board. From there, you can select a customer and move on, quickly and easily!
To get started with Quick Entries, head over to The Administration Center, and scroll down to Appointment Quick Entries. This is where you will create and manage all of your Quick Entries. If you need to make a change to any of your existing Quick Entries, simply click on one to edit. To create a new one, click on the plus symbol on the bottom right of your screen.
There’s a lot of options when it comes to creating a Quick Entry. Above, we have a common example of a Service Call. We’ve provided a Quick Entry Description (this is how it will show up to us on the Dispatch Board) as well as some information about how we would like it to be scheduled.
For example, we've set the duration to one hour, as that is the assumed time that it would take to finish the job. On the right, we can choose if we want this Quick Entry to automatically generate a quote and/or work order.
We can also have that quote or work order generate an item by default. For example, by selecting Work Order Item you could add a standard trip charge.
Once you have created your Quick Entry, return to the Dispatch Board and open the Quick Entry window at the top of the screen. From there, you can choose which one of your Quick Entries to use by dragging and dropping from the menu on the right to the date, time, and technician you want to schedule.
Although your Quick Entry might contain some template information, you can always adjust this after placing it on the calendar by clicking on it. Use this feature to get a head start on scheduling basic services!
